User Availability

Not everyone on your team works the same hours. Driive lets each user have their own weekly schedule, giving you the flexibility to handle part-time employees, staggered shifts, and users in different timezones — all while keeping your booking pages accurate.


How individual availability works

By default, every user inherits their team's hours — or the organization's business hours if the team hasn't set any. If you haven't set any individual overrides, a user's availability matches whatever their team or company uses.

When a user has their own schedule, it replaces those defaults for them only. The rest of the team continues using the team or organization hours unless they also get their own.

Driive resolves each person's weekly schedule from the most specific setting available:

  1. The user's hours for a specific team
  2. The user's general hours
  3. The team's default hours
  4. The organization's business hours

Key point: A user's own schedule fully replaces the defaults for them — it can be narrower or wider than your business hours. And when someone is on multiple teams, being available on any of them counts.


Where to set individual availability

Availability is managed per team:

  1. Go to Setup > Teams in the sidebar and open the team.
  2. On the Members tab, click the user you want to edit.
  3. Open their Availability tab.

By default the user inherits the team's availability settings. Click Customize to give them their own schedule for this team.

Note: To change the team's own default hours instead, use the Availability tab on the team itself.


Using the schedule editor

The availability editor works the same way as the organization business hours editor — a weekly view with toggleable days and configurable time blocks.

Setting custom hours

  1. Toggle each day on or off to indicate which days this user works.
  2. For each enabled day, set the start and end time.
  3. To split a day (e.g., for a personal break), add another time range and create multiple windows.
  4. Click Save when finished.

Example: Part-time technician

A technician who works Monday, Wednesday, and Friday mornings:

A senior installer working four 10-hour days:

Timezone considerations

Each user can set their own timezone in their profile. This is important when your team spans multiple regions.

How Driive handles timezone differences

  • User's view: The user sees their availability in their own timezone. If they're in Pacific Time and set their hours to 8 AM - 5 PM, that's 8 AM - 5 PM PT in their calendar.
  • Customer's view: Customers see available time slots in the organization's timezone (or their own local timezone, depending on booking page settings). Driive handles the conversion automatically.
  • Admin's view: When an Admin looks at the team calendar, everyone's schedule is displayed in the organization timezone for a consistent view.

Common timezone scenario

Your business is based in Eastern Time, but you have a technician in Central Time:

  • Organization timezone: Eastern (ET)
  • Technician's timezone: Central (CT)
  • Technician sets availability: 8:00 AM - 5:00 PM CT
  • What customers see: 9:00 AM - 6:00 PM ET

Tip: If a user's availability seems off on the booking page, the first thing to check is their timezone setting. A wrong timezone is the most common cause of unexpected availability.


Resetting to defaults

If a user no longer needs custom hours for a team, you can reset their availability so they inherit the team's settings again:

  1. Open their availability editor from the team's member page.
  2. Click Reset to return to the inherited settings.

This removes the individual override and returns the user to the team (or organization) schedule.

Availability lives under Setup > Teams, which is available to Admins. If a user's hours change, an Admin updates their schedule.
