Managing User Profiles
Every user in Driive has a profile that stores their personal information, preferences, and permissions. Keeping profiles up to date ensures notifications go to the right place, the calendar shows the right timezone, and scheduling respects each person's limits.
Where to find profiles
- Your own profile — Open your personal settings from the sidebar and select Profile.
- Other users' profiles (Admin only) — Go to Setup > Users and click the person's name.
The user detail page is organized into three tabs: General, Permissions, and Notifications. When you change anything, Save Changes and Discard buttons appear — nothing is saved until you click Save.
General tab
The General tab holds the person's core details:
| Field | What it does |
|---|---|
| First Name / Last Name | How the person appears throughout Driive — on the calendar, in appointment assignments, and in team lists. |
| The address tied to their sign-in and invitations. It can't be edited from the profile. | |
| Phone Number | An optional contact number. |
| Job Title | Optional (e.g., "Service Technician," "Office Manager"). Helps identify people at a glance. |
| Timezone | The timezone used for scheduling and availability. Get this right — a wrong timezone can make someone's availability show at the wrong hours. |
| Max Appointments Per Day | An optional daily cap on how many appointments the person can be booked for. Leave it blank for unlimited. |
Tip: The daily cap is great for balancing workload. Once a technician hits their limit, Driive stops offering their time slots for additional bookings that day — no more accidentally stacking five Roof Inspections on one person.
You can also click the profile photo at the top of the page to upload an avatar, which makes the calendar and team lists more visual.
Permissions tab
The Permissions tab is where the user's role lives — Admin, Member, or Restricted. Select a role card and click Save Changes. Only Admins can change roles. See User Roles Explained for a full breakdown of what each role can do.
Notifications tab
Each user controls which notifications they receive:
| Setting | What it does |
|---|---|
| Your Bookings | Email notifications about your own appointments. |
| Any Bookings | Email notifications about any appointment activity in the organization. |
| New Issues | Get an email when a new issue appears in your Inbox. |
| Product Updates & Tips | Email and SMS updates about new features and best practices. |
Organization-wide customer notifications (confirmations, reminders, follow-ups) are configured separately — see Notifications.
Where's availability?
A user's working hours aren't on the profile — availability is managed alongside your other scheduling settings, both generally and per team. See User Availability for setting an individual's hours, and Creating and Managing Teams for team-specific hours.
Who can edit profiles?
| Action | Admin | Member | Restricted |
|---|---|---|---|
| Edit own profile and notification preferences | Yes | Yes | Yes |
| Edit another user's profile | Yes | No | No |
| Change a role (Permissions tab) | Yes | No | No |
