Creating and Managing Teams
Teams help you organize your crew so the right people get assigned to the right jobs. This article walks you through creating teams, managing membership, setting team-level and per-member availability, and keeping your team structure up to date as your business grows.
Creating a new team
- Go to Setup > Teams in the sidebar.
- Click the Create Team button.
- Fill in the team details:
- Team Name — A clear, descriptive name (e.g., "Roofing Crew A," "HVAC Technicians," "Emergency Response").
- Description (optional) — A short note about what this team handles.
- Click Create Team to save.
Your new team starts with zero members. The next step is to add people.
The team page
Opening a team from Setup > Teams shows four tabs:

| General | Team name, description, the Scheduling Type (Best available or Round robin), and the Delete Team section. |
| Members | Everyone on the team, plus the Add Member button. |
| Availability | The team's own weekly hours. By default the team inherits your organization's business hours — customize it here, or click Reset to Organization Settings to go back. |
| Service Area | An optional team-specific service area and start location, for crews that cover a different region than the rest of the company. |
Changes across the tabs are applied when you click Save Changes.
Adding members to a team
- Open the team and go to the Members tab.
- Click Add Member.
- In the Add Team Members dialog, search and select one or more users.
- Click Add Members to confirm.
The team's member count updates immediately.
Tip: A user can belong to multiple teams. If you have a technician who handles both HVAC and electrical work, add them to both teams so they're eligible for appointment types linked to either one — being available on any of their teams counts.
Per-member availability within a team
Sometimes one person's schedule on a team differs from the rest of the crew — a senior installer who only runs installs on Tuesdays and Thursdays, for instance. Driive handles this with membership-level settings:
- Open the team's Members tab.
- Click the member you want to customize.
- Use their Availability tab to set hours that apply only to this person on this team — or Reset to Team Settings to fall back to the team's hours. There's also a Service Area tab for a member-on-this-team service area.
These membership hours sit at the top of the availability fallback chain: person's team-specific hours → person's general hours → team hours → business hours. See Teams Overview for how the layers interact.
Removing members from a team
- Open the team's Members tab.
- Click the X next to the member you want to remove.
- Confirm the removal.
Removing someone from a team doesn't delete their account or affect their other team memberships — they remain in your organization, they're just no longer part of this team's scheduling eligibility.
Editing team details
Open the team's General tab to update the name, description, or scheduling type, then click Save Changes. If you rename a team, the new name appears everywhere the team is referenced, including appointment type settings.
Deleting a team
- Open the team's General tab.
- In the Delete Team section, click Delete.
- Confirm the deletion.
What happens when you delete a team:
- The team is removed from the Teams page, along with its member associations.
- Members are not removed — they remain active in your organization and on any other teams.
- Appointment types that pointed at this team need a new eligible team or users. Check your appointment type settings after deleting so nothing is left unassigned.
Note: Deleting a team cannot be undone. If you're unsure, remove its members instead — that keeps the team structure intact for later.
Best practices
- Name teams by function or crew — "Install Crew," "Inspection Team," and "Service Techs" are clearer than "Team 1" and "Team 2."
- Pick the scheduling type deliberately — Best available fills the schedule most efficiently; Round robin spreads work evenly across the crew.
- Review team membership regularly — As people join, leave, or change roles in your business, update your teams so scheduling stays accurate.
