Filtering and Searching

When you have dozens (or hundreds) of appointments, filters help you zero in on exactly what you need. The filter bar sits at the top of both appointment lists, and you can stack filters to answer questions like "what does Mike have scheduled this week?"


The search box filters as you type — match on the customer's name, email, or phone number, or the appointment type. Press ⌘K (Mac) or Ctrl+K (Windows) to jump straight to it from anywhere on the page, and click the × to clear.

Tip: A customer calls about "their appointment Thursday"? Type their phone number while they're still talking.


Available filters

Assigned user

Filter by who's assigned to the job. Useful for managers reviewing one technician's workload — or for focusing on your own jobs.

Appointment type

Filter by the service being booked (e.g., "Roof Inspection," "AC Tune-Up"). Select one or more types.

Status

On the Scheduled list, narrow to any mix of Scheduled, Completed, and Canceled. (Appointments in Needs Scheduled have their own list — switch the view toggle to Unscheduled to see them, so there's nothing to filter for there.)

Date range

On the Scheduled list, filter by the appointment's scheduled date. The default is Upcoming — today onward — so past jobs don't clutter your working view. Quick presets:

You can also pick a custom range from the calendar.

Show archived

On the Unscheduled list, flip on Show archived to include appointments you've shelved. Archived rows show an Archived badge.


Active filter chips and clearing

Active filters appear as chips below the filter bar — click the × on a chip to remove just that filter, or click Clear filters to reset everything at once (including search and the archived toggle).


Tips for effective filtering

  • Start the morning with "Today." A clean view of what's on the books right now.
  • Work the Unscheduled list to catch stragglers. Anything sitting there is a job without a time — the Inbox flags these too, but the list gives you the full queue in one place.
  • Filter by user for one-on-ones. Reviewing someone's workload? Filter to their name and scan the week.
  • Combine status and date for a quick report. Completed + Last 30 Days shows how many jobs your team closed this month.
  • Remember the Upcoming default. If a past appointment seems to be "missing," it's usually just outside the default date range — switch to Past or Last 30 Days.
