Appointments Overview
The Appointments page is where you manage every job that's headed for (or already on) your calendar. Think of it as your team's daily game plan — you can see what still needs a time, what's coming up, and what's already been completed.
An appointment is the scheduled commitment a request produces. The request captures what the customer needs; the appointment is the job itself — the service, the customer, the time, and the assigned users. One request produces at most one appointment.
Finding the appointments page
- Open Driive and log in.
- In the sidebar, click Appointments.
Ways to view your appointments
The view toggle at the top of the page gives you three ways to work:
Calendar (Cal)
A full calendar of your team's schedule. Best for seeing how the week is shaping up and spotting open slots — click an open slot to book a job yourself with the time pre-filled. Learn more about the calendar view.
Scheduled list
A table of appointments that have a time — Scheduled, Completed, and Canceled. It defaults to upcoming appointments sorted by date, so today's jobs are at the top.
Unscheduled list
A table of appointments in Needs Scheduled — jobs that are ready to go but don't have a time on the calendar yet. Work through this list to get everything booked.

Note: Looking for the old kanban board? It's been replaced by the Inbox — a single queue of everything that needs a human, covering both requests and appointments. Instead of dragging cards between lanes, you open an Inbox item and take the one clear action it needs.
How appointments flow through Driive
Every appointment has exactly one of five statuses:
- Needs Scheduled — The appointment exists and is fully populated, but doesn't have a time yet. Pick a time with Find a Time or share a booking link so the customer picks.
- Scheduled — A date and time are confirmed. The appointment is on your calendar and the customer has a confirmation.
- En Route — A dispatcher has marked the assigned technician as on their way. See Dispatching.
- Completed — The work is done. You can mark appointments complete manually, or Driive auto-completes past appointments for you.
- Canceled — The appointment was called off by your team or the customer. It can be reopened with Reschedule if plans change again.
Where an appointment starts depends on how it was created:
- From a request — When you click Schedule (or Approve & Schedule) on a request, Driive creates the appointment already populated with everything the customer told you, starting at Needs Scheduled.
- With a time already picked — When a customer picks a slot on your booking page or booking link, or you book it yourself, the appointment starts at Scheduled.

Important: Gathering information and approving leads now happen on the request, before an appointment exists. If you're looking for the old "Needs Information" or "Needs Approval" statuses, those are now issue reasons in your Inbox.
Where appointments come from
- Requests — The main path. Customer inquiries from your website, phone calls answered by Dot, texts, chats, and manually logged requests all become appointments when you (or Driive) schedule them. Learn how requests become appointments.
- Booking pages and links — A customer who books online and picks a time creates an appointment that lands directly at Scheduled.
- Booking it yourself — Your team schedules a job directly — always with a time, so it lands at Scheduled.
What you can do from the appointments page
- Schedule an appointment — Click Schedule Appointment in the top bar to book a job yourself.
- Open an appointment — Click any row to open the detail page.
- Filter and search — Narrow your view by assigned user, appointment type, status, or date range. Learn more about filters.
- Work in bulk — Select multiple rows to mark them complete (Scheduled list) or archive them (Unscheduled list).
- Switch views — Toggle between the calendar and the two lists at any time.
