User Roles Explained
Every user in your Driive organization has a role that determines what they can see and do. Choosing the right role keeps your data secure while giving each person the access they need to do their job.
The three roles
Driive has exactly three roles — there is no separate "Owner" role. The person who created the account is simply an Admin like any other.
Admin
Full access to all features. Can manage members, billing, and organization settings.
Admins can do everything: manage every appointment, request, and customer, plus everything under Setup — appointment types, booking pages, teams, users, company settings, integrations, and developer tools. Admins are the only ones who can invite users, change roles, and manage billing.
When to use it: Business owners, office managers, or anyone who needs full control over how Driive is configured. Most organizations have one to three Admins.
Member
Standard access. Can manage their own schedule, appointments, and customer interactions.
Members handle the day-to-day — working appointments, responding to requests, and keeping customer details up to date — without access to organization-level configuration. The Setup area (appointment types, teams, users, company settings, integrations) is reserved for Admins.
When to use it: Technicians, dispatchers, and schedulers who work the schedule every day but don't need to change how the system is set up. This is the default role for newly invited users.
Restricted
View-only access with limited actions. Cannot modify settings or manage other members.
Restricted users can see what's relevant to them but can't make broad changes. This is the role to reach for when you want someone to check the schedule without touching anything else.
When to use it: Subcontractors or field staff who only need to look up their day. It's ideal when you want to limit visibility and keep configuration firmly in Admin hands.

How to change a user's role
Roles live on the Permissions tab of the user's detail page. Only Admins can change them.
- Go to Setup > Users in the sidebar.
- Click the user whose role you want to change.
- Open the Permissions tab.
- Select the new role card — Admin, Member, or Restricted. Each card shows a short description of what the role allows.
- Click Save Changes.
The change takes effect immediately.
Important: Keep at least one Admin in your organization at all times. If you're the only Admin, promote someone else before changing your own role — otherwise nobody will be able to manage settings, users, or billing.
Best practices
- Start with fewer Admins — Give the Admin role only to people who truly need to manage settings and billing. You can always upgrade a Member later.
- Use Restricted for field-only staff — If a technician only needs to check their schedule for the day, the Restricted role keeps things simple for them and secure for you.
- Review roles periodically — As people take on new responsibilities, their role may need to change. A dispatcher promoted to office manager might need Admin access.
