Removing a User

When someone leaves your company or no longer needs access, you can permanently remove them from your organization. Removal deletes their profile and access — this action cannot be undone, so read through what happens before you click.


How to remove a user

Only Admins can remove users, and you can't remove yourself — another Admin has to do that.

  1. Go to Setup > Users in the sidebar.
  2. Click the user you want to remove.
  3. On the General tab, find the Delete User section at the bottom.
  4. Click Delete and confirm in the dialog.

The user is removed immediately and can no longer sign in to your organization.


What happens when you remove someone

Removed with the user

  • Calendar events and connected calendars — Their Driive calendar events and any connected calendar integrations are deleted.
  • Team memberships — They're removed from every team they belonged to, including any team-specific availability they had.
  • Availability and booking settings — Their scheduling configuration is cleaned up, and Driive stops offering their time slots right away.

What stays

  • Appointments — Appointment records are not deleted. The removed person simply no longer appears as an assignee, so make sure someone else is covering their upcoming jobs.

Important: Removal is permanent — there's no undo or reactivation. If they need access again later, you'll send a fresh invitation.


Impact on billing

Driive uses seat-based pricing, and your seat count adjusts automatically when you remove a user. See Seat-Based Pricing for how that flows through to your subscription.


Checklist before removing

  • Reassign upcoming appointments — Check the Calendar for future appointments assigned to this person and reassign them first, so nothing falls through the cracks.
  • Review their teams — If they were the only member of a team, that team will be empty. Add someone else or update the appointment types that relied on it.
  • Confirm it's permanent — If you just want to pause someone's involvement, consider removing them from teams instead so they stop receiving new bookings without losing their account.

Canceling a pending invitation

If the person never accepted their invite, you're canceling an invitation rather than removing an active user:

  1. Go to Setup > Users and click the pending user.
  2. On the General tab, find the Cancel Invitation section.
  3. Click Delete and confirm.
