Comments and Activity
Every appointment has a built-in feed that combines two things: a timeline of every change that has happened and a place for your team to leave internal notes. It's the appointment's living history — nothing gets lost.
The Notes & Activity tab
Open any appointment and click the Notes & Activity tab. You'll find:
- Customer Notes — If the customer left a message when booking, it appears in its own card at the top.
- Activity — The feed itself, newest first, with a note composer above it. Scroll down and older entries load automatically.
What the feed tracks automatically
Every significant change is logged as an entry:
- Status changes — "Status changed from Needs Scheduled to Scheduled"
- Scheduling and reschedules — When a time was booked or moved, including the old and new times
- Cancellations — Who canceled and the reason, if one was given
- Assignments — Who was added to or removed from the job
- Customer updates — Changes to the customer's details
- Completion — Including whether Driive auto-completed it
Each entry shows what changed, who did it (a user by name, or "System" for automatic changes like auto-completion), and when.
Adding internal notes
Your team can comment on any appointment. These are internal notes visible only to your team — customers never see them.
How to add a note
- Open the Notes & Activity tab.
- Type in the "Add a note..." box at the top of the feed.
- Press ⌘ Enter (Mac) / Ctrl+Enter (Windows), or click the send button.
Your note appears in the feed immediately.
Editing and deleting notes
Hover over one of your own comments to reveal the edit and delete options. You can only edit or delete notes you wrote.
Use cases for internal notes
- Pre-job details — "Customer mentioned the leak is near the back chimney. Bring extra flashing."
- On-site observations — "Roof is in worse shape than expected. May need a follow-up estimate."
- Customer communication — "Spoke with the customer — they prefer morning appointments."
- Handoff notes — "I started the inspection but had to leave. Mike is finishing up."
- Follow-up reminders — "Customer wants a callback next week about the gutter quote."
Tech notes vs. comments
Driive has two places for internal notes, each with a different purpose:

Tips
- Log key decisions. When you cancel, reschedule, or revert an appointment, add a quick note explaining why. Your future self (and your team) will thank you.
- Use notes for context, not tasks. The feed isn't a task manager — record the "why" behind decisions, and schedule the work itself.
- Check the feed before calling a customer. Catch up on recent changes and teammates' notes so you're never blindsided mid-call.
- The request has its own trail. The story before the appointment existed — calls, texts, and form sessions — lives on the originating request.
