Inviting Users
Growing your team in Driive starts with sending an invitation. Once someone accepts, they can access the platform, show up in the scheduler, and start getting assigned to appointments. This article covers the full invite flow — from sending to accepting.
Who can invite users?
Only users with the Admin role can invite new users. If you're a Member or Restricted user and need someone added, ask an Admin on your team. Learn more about roles in User Roles Explained.
Sending an invitation
Go to Setup > Users in the sidebar.
Click the Invite button.
In the invite dialog, fill in:
Email address — The email where the invitation will be sent.
Role — Choose the role for this person: Admin, Member, or Restricted.
Click Send Invite.
Driive sends an invitation email immediately. The new person appears in your user list with a Pending status badge.
Tip: Double-check the email address before sending. If you send an invite to the wrong address, you can resend it to the correct one later.
What the invitee receives
The invited person receives an email from Driive with:
Your organization name
A brief welcome message
A magic link button to accept the invitation
When they click the magic link:
If they already have a Driive account, they're added to your organization and taken to the dashboard.
If they don't have an account, they're prompted to create one (name and password). After that, they land in your organization automatically.
The invitation link expires after a set period. If it expires before the person accepts, you can resend it (see below).
Pending vs. active status
On the Setup > Users page, each team member has a status:
Pending — The invitation has been sent but not yet accepted. Pending members do not appear in the scheduler and cannot be assigned to appointments.
Active — The person has accepted the invitation and can use the platform. Active members appear in the scheduler and count toward your seat-based billing.
Once a pending member accepts their invite, their status changes to Active automatically.
Resending an invitation
If someone didn't receive the email or the link expired:
Go to Setup > Users.
Find the pending member in the list.
Click the Resend button next to their name.
Driive sends a fresh invitation email with a new magic link.
Ask the invitee to check their spam or junk folder if they still don't see it. The email comes from Driive's notification system, which some email providers may filter.
Revoking an invitation
If you sent an invitation by mistake or no longer want to add that person:
Go to Setup > Users.
Find the pending member.
Click the menu icon and select Revoke Invite (or Cancel).
The invitation link is deactivated immediately. If the person tries to use it, they'll see a message that the invitation is no longer valid.
Billing impact
Each active team member counts as a seat on your Driive subscription. When someone accepts an invitation and becomes active, your seat count increases. See Billing and Account for details on seat-based pricing.
Pending invitations do not count toward your seat total.
