Viewing Team Schedules

When you're managing a crew of technicians, you need to see everyone's schedule at once. The Schedule view places each team member in their own column so you can compare availability, balance workloads, and dispatch the right person to the next job.


How Schedule view works

Schedule view shows a single day, split into columns — one column per team member. Each column displays that person's appointments and synced external events on a vertical time grid, just like Day view, but repeated side-by-side.

This layout answers the question every dispatcher asks: "Who's free right now?"


Opening Schedule view

  1. Navigate to Manage > Calendar in the sidebar.

  2. Click Schedule in the view toggle at the top-right of the calendar page.

  3. The calendar switches to a multi-column layout showing one day.

Use the forward and back arrows or the date picker to change which day you're viewing.


Filtering by team or individual

The sidebar team member list controls which columns appear in Schedule view:

  • Show the whole team — Check every team member to see all columns.

  • Show a specific team — If you organize your crew into teams (e.g., "Roofing Crew A," "HVAC Team"), select just that group.

  • Show specific individuals — Check only the people you're interested in.

The fewer members you select, the wider each column becomes, giving you more room to read appointment details. If you're dispatching for a two-person crew, filter to just those two for a clean, spacious view.


Current-time indicator

A red horizontal line stretches across all columns to show the current time. This makes it easy to see:

  • Which appointments are happening right now

  • Who just finished a job and might be available

  • Who has an upcoming appointment soon

The line updates in real time, so the view stays current as you work.


Color coding

Appointments in Schedule view use color coding to help you scan the grid quickly:

  • Driive appointments — Displayed in the color assigned to the appointment type (e.g., blue for "AC Repair," green for "Roof Inspection"). This lets you identify service types at a glance.

  • External events — Shown in a muted, neutral color to visually separate them from Driive appointments.

  • Status indicators — Appointments may show subtle visual differences based on their status (scheduled, in progress, complete).

Tip: You set appointment type colors when you create or edit an appointment type. Choosing distinct colors for your most common services makes Schedule view much easier to scan.


Using Schedule view for dispatching

Here's a common dispatching workflow using Schedule view:

  1. Open Schedule view and navigate to the day you need to schedule.

  2. Scan the columns for open time slots. Look for gaps between appointment blocks.

  3. Identify the best fit — Consider location proximity, skill set, and workload balance.

  4. Create or assign the appointment — Head to the Appointments section to assign the job to the right team member.


Tips for getting the most out of Schedule view

  • Start your day here — Open Schedule view each morning to see the full day's plan across your team.

  • Use it during calls — When a customer calls to book, check Schedule view to quickly find who has an opening.

  • Combine with availability settings — Make sure each team member's availability is up to date so the calendar reflects when they're actually working.
