Team Member Availability
Not everyone on your team works the same hours. Driive lets each team member set their own weekly schedule, giving you the flexibility to handle part-time employees, staggered shifts, and team members in different timezones — all while keeping your booking pages accurate.
How individual availability works
By default, every team member inherits the organization's business hours. If you haven't set any individual overrides, a member's availability matches whatever you configured for the company.
When a member sets their own availability, their personal schedule replaces the organization defaults for them only. The rest of the team continues using the organization hours unless they also set their own.
Key point: Individual availability can only narrow the window — it cannot extend beyond your organization's business hours. If your company operates 8 AM to 5 PM and a member sets their hours to 7 AM to 6 PM, customers will only see slots between 8 AM and 5 PM for that member.
Where to set individual availability
There are two ways to get to the availability editor:
As the member: Go to Settings > Availability in the sidebar.
As an Admin editing another member: Go to Setup > Users, click the member's name, and navigate to the Availability tab.
Using the per-member schedule editor
The availability editor works the same way as the organization business hours editor — a weekly view with toggleable days and configurable time blocks.
Setting custom hours
Toggle each day on or off to indicate which days this member works.
For each enabled day, set the start and end time.
To split a day (e.g., for a personal break), click Add Time Block and create multiple windows.
Click Save when finished.
Example: Part-time technician
A technician who works Monday, Wednesday, and Friday mornings:
Day | Hours |
|---|---|
Monday | 8:00 AM - 12:00 PM |
Tuesday | Off |
Wednesday | 8:00 AM - 12:00 PM |
Thursday | Off |
Friday | 8:00 AM - 12:00 PM |
Saturday | Off |
Sunday | Off |
Example: Four-day work week
A senior installer working four 10-hour days:
Day | Hours |
|---|---|
Monday | 6:00 AM - 5:00 PM |
Tuesday | 6:00 AM - 5:00 PM |
Wednesday | 6:00 AM - 5:00 PM |
Thursday | 6:00 AM - 5:00 PM |
Friday | Off |
Saturday | Off |
Sunday | Off |
Timezone considerations
Each team member can set their own timezone in their profile. This is important when your team spans multiple regions.
How Driive handles timezone differences
Member's view: The member sees their availability in their own timezone. If they're in Pacific Time and set their hours to 8 AM - 5 PM, that's 8 AM - 5 PM PT in their calendar.
Customer's view: Customers see available time slots in the organization's timezone (or their own local timezone, depending on booking page settings). Driive handles the conversion automatically.
Admin's view: When an Admin looks at the team calendar, all members' schedules are displayed in the organization timezone for a consistent view.
Common timezone scenario
Your business is based in Eastern Time, but you have a technician in Central Time:
Organization timezone: Eastern (ET)
Technician's timezone: Central (CT)
Technician sets availability: 8:00 AM - 5:00 PM CT
What customers see: 9:00 AM - 6:00 PM ET (but capped at 5:00 PM ET if that's when your business hours end)
Tip: If a team member's availability seems off on the booking page, the first thing to check is their timezone setting. A wrong timezone is the most common cause of unexpected availability.
Resetting to organization defaults
If a member no longer needs custom hours, you can reset their availability to match the organization's business hours:
Open their availability editor.
Look for a Reset to Default or Use Organization Hours option.
Confirm the reset.
This removes all individual overrides and returns the member to the company-wide schedule.
Who can change availability?
Action | Admin | Member | Restricted |
|---|---|---|---|
Edit own availability | Yes | Yes | Yes |
Edit another member's availability | Yes | No | No |
Every team member can manage their own schedule. Only Admins can change availability for other people.
