Completing an Appointment

Marking an appointment as complete is the final step in your workflow. It tells your team the job is done, updates the customer's record, and clears the appointment from your active pipeline.


Marking an appointment complete manually

You can manually mark any Scheduled or In Progress appointment as complete.

From the appointment detail page

  1. Open the appointment.

  2. Click Mark Complete on the status action card (visible for Scheduled and In Progress appointments), or open the three-dot menu and select Mark Complete.

  3. The Mark Complete dialog opens, showing the appointment type, date, and customer for confirmation.

  4. Click Mark Complete to confirm.

From the kanban board

  1. Hover over the appointment card in the Scheduled lane.

  2. Click the checkmark quick-action button on the card.

  3. Confirm in the dialog.

From the list view

  1. Click the three-dot menu (...) on the appointment row.

  2. Select Mark Complete.

  3. Confirm in the dialog.

From the status badge

  1. On the appointment detail page, click the status badge (e.g., "Scheduled").

  2. Select Mark Complete from the dropdown.


Auto-completion for past appointments

Driive automatically moves past appointments to a completed-like state. When an appointment's scheduled end time has passed and it is still in the Scheduled status, Driive transitions it to In Progress and eventually to Completed without any manual action.

This keeps your pipeline clean without requiring your team to remember to close out every job.

Note: Auto-completion runs in the background. There may be a brief delay between the end of an appointment and when the status updates.


The In Progress status

The In Progress status serves as a transitional state between Scheduled and Completed:

  • When the scheduled start time arrives, the appointment can move to In Progress.

  • From In Progress, you can click Mark Complete to finalize the job.

  • If you do not take manual action, Driive will auto-complete the appointment after the scheduled end time passes.

This status is useful for longer jobs (like a full-day roofing project) where the team is actively working but the job is not yet finished.


What happens after completion

  • The appointment moves to the Completed lane on the kanban board.

  • The status badge updates to "Completed" with a checkmark.

  • An activity entry is recorded in the appointment's activity feed.

  • The appointment remains in your records for reporting and history.

  • The assigned time slot is no longer shown as "busy" for future availability calculations.


Can you undo a completion?

Completing an appointment is a terminal action — the appointment cannot be moved back to Scheduled or In Progress. If you marked an appointment complete by mistake, you would need to create a new appointment for the customer using quick book.


Tips

  • Complete appointments promptly. While auto-completion handles the cleanup, manually marking jobs complete gives you tighter control and ensures accuracy.

  • Review completed appointments. The Completed lane on the kanban board and the list view (filtered by Completed status) are great places to review finished work at the end of the day or week.

  • Use completion as a team ritual. Encourage your crew to mark appointments complete right after finishing the job. It keeps the pipeline accurate and gives office staff real-time visibility into field work.
