Kanban Board
The kanban board gives you a visual snapshot of your entire appointment pipeline. Five lanes represent the key stages of your workflow, and you can drag appointment cards between them to update statuses instantly — no forms, no extra clicks.
The five lanes
Each lane groups appointments by where they are in your pipeline:
Lane | What it shows | Sorted by |
|---|---|---|
Requests | New appointment requests waiting for your team to review. These come from online booking forms. | Newest first |
Needs Scheduled | Approved appointments that still need a date and time. The customer did not select a slot, or your team needs to schedule manually. | Newest first |
Scheduled | Confirmed appointments that are on the calendar with a date, time, and assigned team member. | Soonest first |
Completed | Finished appointments where the service has been delivered. | Most recently completed first |
Cancelled | Appointments cancelled by your team or the customer. | Most recently cancelled first |
What each appointment card shows
Every card on the board displays the key details you need at a glance:
Customer name — The full name of the person who booked.
Appointment type and location — The service name (e.g., "Roof Inspection") and city, if available.
Lead score — For new requests, a score from 0 to 100 based on booking form answers (when lead scoring is configured).
Disqualification notice — If the lead was flagged by your scoring rules, a warning appears on the card.
Scheduled date and time — For confirmed appointments, the date and time are shown prominently.
Assigned team members — Avatars of the team members assigned to the job.
Last updated — A timestamp showing when the appointment was last changed.
Quick actions on cards
Each card includes quick-action buttons so you can take the next step without opening the full detail view:
Requests lane — Reject the request (X button).
Needs Scheduled lane — Share the booking link with the customer.
Scheduled lane — Mark complete or cancel the appointment.
All cards — Click the three-dot menu (...) to view details or access additional actions.
To open the full detail view for any appointment, click anywhere on the card.
Drag-and-drop
You can drag an appointment card from one lane to another to change its status. For example:
Drag a card from Requests to Needs Scheduled to approve it.
Drag a card from Scheduled to Completed to mark it done.
Some transitions may require additional information (like selecting a time slot), in which case Driive will prompt you.
Note: Drag-and-drop may be restricted based on your role. If you cannot move a card, check with your organization admin about your permissions.
Collapsing lanes
If you want to focus on specific stages of your pipeline, you can collapse lanes you do not need right now. A collapsed lane appears as a slim vertical bar with the lane name and a count of appointments inside.
To collapse a lane:
Click the collapse icon at the top of the lane.
To expand a collapsed lane:
Click the collapsed lane bar.
Your collapse preferences are saved, so Driive remembers which lanes you have open the next time you visit.
Lane counts
Each lane header displays a count of the total appointments in that lane. This count updates in real time as appointments move through your pipeline.
Tips for using the kanban board
Start your day in the Requests lane. Review new bookings, check lead scores, and approve or reject requests before moving on.
Keep an eye on Needs Scheduled. These are approved leads that could slip through the cracks if nobody schedules them.
Use filters alongside the board. You can filter by appointment type, team member, or date range and the kanban board will update to show only matching appointments. Learn more about filters.
Switch to list view for bulk work. If you have a long backlog, the list view might be faster for scanning and sorting.
